Intake Assistant

Summary/Objective

The Intake Assistant performs administrative functions for the department including answering the scheduling phone line, data entry, and faxing appointment confirmations.

Essential Duties & Responsibilities

  1. Responsible for answering the Premier Comp Solutions (PCS) toll free appointment scheduling line and obtaining necessary incident and patient demographic information from injured workers to assist them with scheduling their initial appointments.
    2. Enters injured workers information into The PCS computer database system (CMS) and schedules initial medical appointments to include, physician, physical therapy (PT) and diagnostic (DIAG) imaging studies.
    3. Receives email, fax and online referrals from various entities (medical providers, employers, insurance carriers) to schedule specialists, PT, and DIAG appointments.
    4. If referrals are received from a new source, this may include setting up insurance companies and employers as β€œnew” accounts in the CMS system.
    5. Documents all scheduled appointments in the appropriate PCS database screens.
    6. Once scheduled, faxes initial appointment confirmations to providers, and assigns files to an Injury Care Specialist for follow-up.
    7. When necessary, submits unconfirmed claims to the Network Services Department for the purpose of verifying compensibility when scheduling appointments.
    8. Ensures that daily follow-ups (tasks) are completed timely to ensure all referrals are scheduled appropriately.
    9. Assist with the training of new Intake personnel as directed by the Intake Coordinator and/or Intake Manager.
    10. Adheres to all account/carrier special instructions with regards to scheduling protocols, and informs the Client Services department of the need to update current injformation in the database with regards to accounts, carriers or providers.
    11. Assists the Injury Care Department with making calls, contacting physician offices to obtain outstanding patient status reports, or scheduling follow-up specialist, and /or PT/MRI appointments during high volume periods.

Other duties may be assigned as directed by management.

Qualifications

  • High School Diploma or equivalent.
  • Experienced with computer data entry
  • Familiar with Medical Terminology through course work, or relevant work experience
  • Typing 30 – 35 WPM
  • Excellent communication skills
  • Must be detail oriented
