Injury Care Assistant

Summary/Objective

The Injury Care Assistant provides administrative support to the department including answering telephone calls, distribution of faxes, assist with scheduling appointments, and data entry.

Essential Duties & Responsibilities

  1. Places first call to providers, the day after the appointment obtain patient work status report, next appointment information, and determine if any specialist referrals or PT/MRI has been prescribed by the treating physician. Should PT/MRI be ordered, the prescription will be requested as well, and the patient will be contacted to schedule the appropriate appointment.  Documents all information appropriately in the specific case in CMS.
  2. Distributes incoming faxes from the Main Fax in box to the appropriate team queue.
  3. Responsible for answering and handling telephone inquiries regarding specific cases when the injury care specialist is not available to take the inquiry.
  4. Assists with scheduling of all PT, diagnostic, and specialist appointments on managed files during high volume work periods and staff shortages.
  5. Contacts patients to reschedule any missed appointments (when notified of this during first calls) during high volume caseload days for the injury care specialists.
  6. Enters intakes and all appointments along with physical therapy and MRI’s in the appropriate Premier Comp database screens and faxing/emailing paperwork to the appropriate parties per the Special Handling Instructions.
  7. Notifies the Injury Care Specialist/Adjuster via email of any no show and cancelled/rescheduled appointments.
  8. Documents all phone calls, emails, etc. in the specific case in CMS.
  9. Adheres to all client and/or insurance carrier special handling instructions indicated in CMS.

Other duties may be assigned as directed by management.

Qualifications

  • High School Diploma or equivalent.
  • Experience with computer data entry.
  • Familiar with medical terminology through course work or relevant work experience.
  • Able to type 30-35 WPM.
  • Excellent communication skills.
  • Must be detailed oriented.
